Start with the office entrance and communication channels
For the actual Jeddah worksite, identify the reception point, public opening periods, visitor types and the departments receiving enquiries. State whether the role handles in-person arrivals, telephone calls, an approved shared inbox or another defined channel. Record the instruction each channel follows instead of giving the worker unrestricted responsibility for everything reaching the office.
Describe the reporting manager and the level of independence expected at the desk. A corporate office, shared commercial entrance and small administrative workplace can have different receiving arrangements. Use the real operating model to define coverage, without inventing a branch, office location, client relationship or number of visitors for the requirement.

Define visitor handling without assigning security authority
Set out the employer process for receiving an appointment request, contacting the intended host and handing the visitor to the next responsible owner. Identify the person reviewing an unlisted appointment or unavailable host. A receptionist can follow the approved visitor workflow without being authorised to make security decisions or disclose private staff schedules.
Keep access permission, identity review and sensitive exceptions with the designated employer personnel. Describe any approved record the receptionist maintains and the permitted information in it. Do not use a general visitor-service role as evidence of access-control training, security authority or permission to collect every document a visitor brings.

Clarify calls, messages and information boundaries
List the telephone or message channels the receptionist may use and the routing references supplied by the employer. State how the worker confirms a destination, records a message and reports an unavailable contact. Distinguish an enquiry that can be answered from one needing the responsible department, rather than expect the desk to improvise commercial or personnel information.
Define language tasks through the actual interactions: confirming a name or appointment, explaining a waiting arrangement and passing an accurate message. Avoid unsupported proficiency labels as the only assessment evidence. Keep confidential employee, candidate, customer and financial information outside the response unless a specific employer-approved task and access arrangement covers it.

Separate receptionist duties from other office support
If the assignment includes document movement, meeting-room preparation or an administrative task, list that duty separately with its receiving owner. Cash handling, purchases, pantry work and data entry are not automatic extensions of receptionist coverage. A combined role needs enough working time and reviewed evidence for each part, not one undifferentiated office-support label.

Record who receives visitors and calls during that interval, and do not treat an attendant elsewhere in the building as simultaneous desk relief without an agreed handover.

Plan desk coverage by arrival and communication windows
Review the employer appointment schedule, call pattern, opening duties and end-of-period handover. Show routine desk cover, peak overlap and relief for breaks or approved absences. Daily visitor totals alone do not establish headcount; arrivals, calls and host availability can overlap in particular periods and require different responses.
Include the workstation, contact directory, approved routing instructions and receiving supervisor in the plan. A queue may result from an unavailable host or unresolved appointment, not a shortage of receptionists. Record the dependency alongside coverage when reviewing an additional worker, so the request addresses a defined task rather than promises that more staff will resolve every wait.

Assess a receptionist with fictional appointments and calls
Use dummy appointment and message records to ask a proposed receptionist how an arrival would be confirmed and routed. Include a visitor without an appointment and a call requesting an employee schedule. Review clarification, accurate messages, privacy boundaries and escalation using the same instructions for comparable candidates, not real visitor or employee data.
Introduce an unavailable host while another call arrives, then ask which information and receiving contact are needed. Record what the person demonstrates and which tasks still need employer instruction. An interview discussion is not evidence of security authorisation or a completed desk induction, and this guide does not require unpaid productive trial work.

Prepare receiving arrangements and a clear shift handover
Before an assigned period, confirm the reporting point, workstation access, communication tools and approved contact references. Identify the owner providing local induction and reviewing any person-specific requirements through protected channels. A proposed quantity or target date remains a planning request until scope, suitability and joining arrangements are separately confirmed.
At handover, record unresolved messages, appointments awaiting a host response and requests needing further action under the employer process. Identify the next responsible owner without exposing private records in a public enquiry. Keep attendance and relief separate from visitor status, and review any replacement against the actual desk duties rather than the job title alone.

Prepare the receptionist employer brief
Provide the business contact, actual Jeddah worksite, reception points, operating periods, defined channels and role quantities. Add visitor and call tasks, language interactions, reporting line, assessment owner and responsibilities for workstation resources, access, induction, uniforms and relief. State exclusions such as security decisions, cash handling or confidential administration explicitly.
