Divide event coverage into operating phases
Prepare separate requirements for preparation, opening, visitor activity, closing and breakdown. Identify the actual venue areas, task groups, operating periods and receiving owners for each phase. Registration support during opening can require a different allocation from stock movement during setup or cleaning after visitors leave. One overall event headcount does not explain those changes.
This guide prepares a manpower requirement for review; it does not confirm an event contract, venue relationship or available team. Use the organiser’s actual timetable and approved duties. Keep specialist installation, security, technical production and other separately controlled work distinguishable from the general support tasks being proposed.

Define registration and guest-assistance boundaries
Identify the desk locations, information workers may provide, records they may use and the organiser contact resolving exceptions. Distinguish checking an approved registration reference from deciding admission or changing attendee information. Guest-assistance workers need the current directions and escalation owner for requests they cannot answer within their assigned duties.
State the communication tasks and language needs of the actual role rather than applying a broad fluency label to every worker. Record the instructions for handling attendee information through the approved process. A support assignment does not automatically include security decisions, cash transactions, access to every visitor record or authority to make promises on behalf of exhibitors.

Plan setup support against released areas
List the support tasks, items and movement routes included during preparation. Identify who receives materials, releases an area and approves its readiness for the next activity. Separate furniture or packaged-material handling from stand construction, electrical work, rigging and other specialist tasks that require their own reviewed responsibilities.
Record the equipment provided and supervision for the actual assignment. If the organiser changes the layout, item list or access period, identify the affected task references before revising the team allocation. Additional workers alone may not resolve an area awaiting release or an instruction still requiring approval from a technical or venue owner.

Allocate cleaning and turnover by event zone
Define the public areas, registration desks, shared facilities and back-of-house areas expressly included in the cleaning scope. Connect each zone to its operating window and receiving contact. Keep cleaning during visitor activity distinguishable from preparation before opening and turnover after a session or event period.
Agree the task list, equipment, materials, waste-transfer boundaries and completion checks for the reviewed requirement. Specialist treatment and unlisted waste streams need separate scope review. Record changes in the event timetable and zone availability so the supervisor follows current instructions instead of treating every area as accessible throughout the event.

Use supervision and relief across changing periods
Identify the supervisor coordinating each phase and the organiser contact authorised to change priorities. Record overlaps between registration, guest assistance, materials handling and cleaning periods. Plan any relief against the actual role and operating window rather than assuming a general helper can replace every task assigned across the venue.
Use the organiser’s workload information and task status to review quantities. A pending admission decision, incomplete materials release or unavailable zone may need another owner’s action rather than more workers. Keep the dependency visible and confirm the revised allocation through the receiving contact before changing the agreed team scope.

Control closing and breakdown handovers
Give closing and breakdown tasks their own references, areas and receiving owners. Identify which materials may be moved, where they are received and who reconciles returns or unresolved items. Do not assume that support workers assigned during opening are also approved for every dismantling, equipment or specialist production task after visitors leave.
At a change of period, record completed work, areas awaiting access and items needing an organiser decision. Carry those references to the next supervisor or receiving team. Review revised duties, periods and resources before treating an earlier coverage arrangement as approval for extended breakdown work or an additional event day.

Send the event manpower planning requirement
Provide the employer or organiser contact, Jeddah venue location, phase timetable, zone references and proposed role quantities through the business enquiry route. Include supervision, communication duties, equipment ownership, information-access boundaries and handover expectations. Identify unresolved dependencies and the people authorised to clarify them.
Ask the response to identify the proposed scope, commercial assumptions and availability requiring confirmation for that actual event requirement.
