Map the workshop functions before requesting a team
Separate vehicle reception, workshop support, parts handling, administration and premises care in the operating requirement. Identify which functions need additional coverage and which remain with the employer’s existing team. Give each task group a receiving contact, work area and operating period so the proposed response can address a defined scope rather than one general automotive headcount.

Define mechanic and auto-electrician task boundaries
For a technical workforce requirement, describe the vehicle types, systems and tasks personally assigned to the proposed role. Separate diagnosis, agreed repair tasks, recording findings and supervisory review. Identify the employer’s technical owner and the evidence needed before accepting the assignment. A general mechanic or auto-electrician title does not establish competence for every system or workshop responsibility.
Keep task instructions, equipment availability and acceptance criteria specific to the actual work area. This page does not provide repair procedures or approve electrical, diagnostic or vehicle-handling work. Where a requirement needs further technical review, record that dependency before confirming coverage. Do not treat additional headcount as a substitute for a suitable profile and receiving arrangement.

Plan service-desk and job-record support separately
A service-adviser or reception requirement needs the duties delegated by the employer. Identify customer communication, appointment records, job-status follow-up and the approvals retained by workshop management. Keep advising or recording a request distinct from approving repairs, setting commercial terms or releasing a vehicle. The coverage brief should show which responsibilities belong to each receiving owner.
For administrative support, define the records used and the instructions for handling customer and vehicle information through the approved process. Record the person resolving incomplete job details and changes to appointments. A busy reception period may need a different coverage window from the workshop bays; prepare the proposed allocation from the actual duties and operating schedule.

Organise parts and workshop-support coverage
Describe receiving, identification, storage, issue and return-record duties where parts support is included. Name the owner authorising transactions and resolving discrepancies. Keep support-worker handling tasks distinguishable from stock-control decisions, procurement approval and technical confirmation of part suitability. Show the work area, equipment and reporting contact for each proposed group.
For workshop helpers or premises-care workers, list the tasks allowed in the receiving area and the boundaries around equipment, customer property and technical work. Define supervision and handover records for the assignment. Do not assume that a helper or cleaning role includes vehicle movement, repair work or access to every workshop zone simply because it supports the same site.

Build coverage windows from the operating schedule
Record reception hours, workshop periods, parts-desk activity and premises-care windows as separate planning inputs. Identify which functions must overlap and which areas can receive a team at different times. Use the employer’s actual schedule and task record rather than a universal staffing ratio to propose quantities and supervision.
For peaks, changed appointment loads or an additional operating period, identify the affected function and review the current coverage requirement. Keep relief and task handover distinguishable from an unconfirmed promise of replacements. Additional workers may not resolve unavailable equipment, incomplete instructions or a pending technical decision. Record the dependency and its owner before revising the allocation.

Use function-level records for shift handover
Connect the supervisor’s task record with the agreed workshop functions and operating periods. Show work completed, records requiring reconciliation and tasks awaiting an employer decision. Keep parts discrepancies, customer approvals and technical exceptions with their respective owners so a general end-of-shift summary does not hide responsibilities still outstanding.
At a change of team or period, identify the receiving supervisor and the next action for unresolved items. Carry forward the current task boundaries and approved instructions. If duties, hours or resources change, review the affected manpower and commercial scope before treating the earlier arrangement as approval for wider coverage.

Prepare the automotive manpower planning requirement
Send the employer contact, Jeddah workshop location, function list, operating periods and proposed quantities through the business enquiry route. Include technical task profiles where relevant, supervision, equipment responsibilities, access arrangements and handover expectations. Identify functions requiring further review and the people authorised to clarify them.
