Map the goods route from receiving to storage
Identify the approved unloading point, receiving contact, entrance and route to each stock location. Record any steps, floor changes, door restrictions or shared passages observed at the site. Specify the materials-handling equipment the employer permits and who supplies it; do not assume a trolley or lift can be used throughout the route.
Separate checking a delivery, moving stock and recording inventory. State who verifies quantities, resolves damaged items and authorizes entry into controlled storage. Where several shops share an entrance or receiving area, document the handover between their teams instead of treating the entire route as one worker’s responsibility.

Schedule replenishment around customer access
Provide the unit’s actual trading hours and delivery windows. Distinguish sales-floor replenishment from backroom sorting, packaging removal and stock checks. Identify where temporary stock can be held without blocking the approved customer or staff route, and who decides when the floor is ready for work.
A shift brief should state priority departments, expected workload and the supervisor who can change the sequence. Use actual delivery volumes and observed handling time when reviewing staffing. A general request for retail helpers does not explain whether the task is a short receiving peak or continuous replenishment.

Define cleaning access, storage and waste transfer
List the shop, stockroom, toilets and shared areas that are expressly in scope. Agree the cleaning window, approved products, storage location and completion check for each. Coordinate cleaning with deliveries so that newly cleaned routes are not immediately used for unpacking or waste staging without an agreed plan.
State the permitted waste categories, collection point and owner of the next transfer. Identify any specialist cleaning request separately, including the surface, access and inspection needs. A support cleaner’s roster should not imply that every deep-cleaning task, treatment method or waste stream is included.

Agree maintenance boundaries before issuing work
Use an asset or defect list for maintenance-support requests, with the authorized building contact and tenant contact where relevant. Separate reporting an issue, carrying out an approved task and deciding that the asset can return to use. Requested technical duties need the relevant competence, tools and supervision review.
Do not assume permission to drill, alter finishes, move fixed fittings or isolate a system. Where an owner identifies special building restrictions, include them in the brief and obtain the required approval before work. This page does not establish which permissions apply to a particular property.

Control keys, stock records and end-of-shift handover
Identify roles that need keys, controlled-room access or inventory records. Define the authorization, issue-and-return process and supervisor for exceptions. Supply only the access needed for the assigned duty; a stock helper does not automatically become the owner of stock discrepancies or a tenant’s private records.
At shift end, record received and pending deliveries, unfinished replenishment, rooms awaiting access, equipment faults and waste awaiting collection. Name the person taking over each item. This makes responsibility visible when a building team, retail team and delivery team have different operating hours.

Quote the actual unit and handling workflow
Send the site entrance, goods route, area list, operating windows, roles and quantities with the expected duration. State supervision, handling equipment, cleaning materials and transport ownership. Ask the response to identify excluded tasks and any site inspection needed before the work arrangement is agreed.
Review the first operating period using receiving delays, blocked routes, replenishment completion and cleaning inspections. Update the task sequence before requesting additional workers. Availability, eligibility, commercial terms and mobilisation remain subject to the reviewed requirement, not the district title.
